Data Privacy

Organisers are committed to protecting all personal data submitted to us by meetings participants, in compliance with University of Edinburgh data protection policies: https://data-protection.ed.ac.uk/data-protection-policy.

At minimum, we collect your name, primary address, phone number, email address, and professional details such as career stage, etc. We also ask that you specify any dietary requests during registration. We request the submission of abstracts for platform and poster presentations, that we will share with conference participants. All abstracts, oral presentations, and posters are the responsibility of the presenting authors. We will not share personal information with other organisations.

Photos will be used by organisers to enhance visibility and participation of the event. Opting out is the responsibility of presenters and participants and should be made clear in advance of the event. Participants taking photographs and audio/video recordings should seek permission from those in the media. Unless attendees opt out, we reserve the right to use photos in publications, websites, social media accounts, and/or other materials. Personal use of of these photographs is allowed with proper attribution, though commercial use is not allowed without permission.

We encourage the use of social media, but support a presenter's preference to opt out. Participants using social media should seek permission by any presenters represented.

Full programs and abstracts will be distributed electronically to registered participants prior to the start of a meeting. Printed copies are available upon arrival to the event.

Cancellation

Please contact the conference coordinator as soon as possible if you must cancel your registration. The conference is not for profit, therefore we need to meet our financial obligations as we get closer to the event date. As such, we will return the following proportion of registration fee:

100% – Cancellation before January 25th

40 % – Cancellation before February 25th

No refund for cancellation after February 25th

It is the responsibility of the attendee to ensure that they have suitable travel and accommodation organised for the duration of the event, including organisation of visas and insurance for travelling to the UK.

The organisers of this meeting are committed to supporting and promoting equality and diversity. We welcome participation from all sections of the community regardless of sex, gender identity, sexual orientation, ethnicity, disability, caring responsibilities, age, religion, or belief. We encourage participants to contact organisers with feedback in how we can better serve participants.

Conduct

We expect to cultivate a respectful event, free from harassment and discrimination for all attendees. By participating in our conference, you are committing to treating other meeting participants and associated property with respect. Conference organisers will not tolerate bullying, discrimination, sexual harassment or violation of local laws. Meeting organisers may be approached informally about any issues relating to conduct in person or by email.

Reports can be submitted by those who experience harassment or discrimination as well as by those who witness violations of the behaviour laid out in this Code. Organisers will take action as needed to resolve the matter, up to and including immediate expulsion of the offending participant from the meeting and contacting local authorities.

Disrespectful behaviour is not limited to but may take the following forms: Shouting, personal attacks or insults, throwing objects, and sustained disruption of talks or other meeting-related events.

Harassment/discrimination is not limited to but may take the following forms: Threatening, stalking, bullying, demeaning, coercive, or hostile acts that may have real or implied threats of physical, professional, or financial harm. Signs, graphics, photographs, videos, gestures, jokes, pranks, epithets, slurs, or stereotypes that comment on a person’s sex, gender, gender identity or expression, sexual orientation, race, ethnicity, color, religion, nationality or national origin, citizenship status, disability status, veteran status, marital or partnership status, age, genetic information, or physical appearance.

Sexual misconduct is not limited to but may take the following forms: Unwelcome and uninvited attention, physical contact, or inappropriate touching. Groping or sexual assault. Use of sexual imagery, objects, gestures, or jokes in public spaces or presentations. Any other verbal or physical contact of a sexual nature when such conduct creates a hostile environment, prevents an individual from fulfilling their professional responsibilities at the meeting, or is made a condition of employment or compensation either implicitly or explicitly.

Meeting Alcohol Policy: Consumption of alcoholic beverages is not permitted during the conference proceedings, other than at designated social events. Meeting participants consuming alcohol are expected to drink only in moderation at all times during the meeting.
